September 2024 Release Notes

In September 2024, GCPay released the following features, enhancements, and bug fixes:

Tier Vendor Management Updates

This release contains a number of updates to the existing tier vendor management functions in GCPay.

  • Sworn Statements / Contractor Affidavits
    • GCPay has introduced the option to embed the tier vendors table into a waiver / template. This update makes it possible for GCs to manage a proper sworn statement or contractor affidavit in GCPay.

To use this feature, simply add the new ${tiered_table} tag to a waiver / template document. The table format can be easily customized by anyone that knows basic HTML and CSS by selecting Advanced Options on the waiver settings. If you'd like help customizing your tier vendor table, please contact your account manager.

  • Preliminary Notice Tracking
In many states, a preliminary notice (notice to owner, notice of furnishing, pre-lien notice, etc.) may be required for a tier vendor to secure lien rights on a project. These notices might be received by certified mail, email, or carrier pigeon - ss such, they can be easily misplaced. To help organize these important documents, GCPay has added the option to indicate if a preliminary notice has been received and an option to upload that notice to the tier vendor record.

In some states, vendors may be required to submit subsequent notices if their contract value increases. For that reason, users can upload and store multiple preliminary notices. GCPay will add a PN badge next to any tier vendor for which a preliminary notice has been received.

  • Tier Vendor Waivers/Templates - Require When Prelim Received
GCPay knows that tracking tier vendor lien waivers can be a massive headache, so we've added a tier vendor waiver/template option to only require a given waiver/template when a preliminary notice has been received. If you work in a state where a preliminary notice is required to establish lien rights, you can use this feature to limit the waiver/template requirement to only those tier vendors that pose a lien risk on your project.

  • Store and Track Joint Check Agreements
Similar to the preliminary notice feature described above, users can now indicate if a particular tier vendor requires a joint check. GCPay has also provided the option to upload a joint check agreement to the tier vendor record. GCPay will add a JC badge next to any tier vendor for which a joint check is required.

Waivers / Templates Export Report

GCPay has renamed the Unconditional Waiver Report to Waivers - Templates Export. The updated project-level report is no longer limited to unconditional waivers, allowing users to extract any and all waivers / templates from GCPay. Users can select a month to limit the output to a given period, or they can leave the month field blank to export all waivers / templates that meet their criteria on a given project.

Acumatica Payment Reconciliation

Acumatica users can now automatically reconcile electronic payments made in GCPay against corresponding invoices in Acumatica. Once a payment flips to Paid, indicating a subcontractor has been paid, GCPay will update the invoice's status in Acumatica to Balanced and append payment details, ensuring accurate record-keeping while reducing manual data entry.

Bug Fixes

  • Payment Queue Bug
A bug was patched that prevents non-treasury roles from queuing payments by clicking the hotdog menu on the Payables table.
  • Tier Vendor Balance Warning
Tier vendor balance warnings were being incorrectly displayed as a result of a net negative billing when the Allow Overbilling option was enabled.
  • Tier Vendor Revisions Bug
GCPay was throwing a false-error when users attempted to view the billing history of a tier vendor when no billing history was present.
  • Primary for Reports
Fixed a bug in which GCPay wouldn't display Project Owners on Canadian invoices when they were set as Primary for Reports in Project Companies.
